Why companies outsource UK payroll (and switch providers)

The UK is well served here. Moorepay has run payroll since 1966, Sage is on more desktops than any rival, and enterprise names like Zellis and MHR pay millions of people a month between them. Quality, on the whole, is not the problem. The pattern behind switching is about the shape of the service, not its competence:

  • The compliance load keeps growing. RTI, auto-enrolment, and the phased move to mandatory payrolling of benefits in kind (company cars and fuel, vans and medical benefits from April 2027, most other benefits from April 2028, per HMRC) mean more to get right, more often. Many teams would rather that sat with a provider whose only job is to keep it current.
  • Software you run yourself is still your workload. A licence to a payroll tool is not the same as handing the task off. Buyers who want to outsource — not operate a system — often discover the product they bought is the former.
  • They outgrow a UK-only provider. The moment you hire your first employee abroad, a bureau that only files with HMRC can’t help, and you’re bolting on a second provider and a second process.

How to switch payroll providers without breaking a pay run

Changing provider sounds risky; sequenced properly, it’s routine:

  1. Check notice periods on your current contract and time the switch to a clean boundary — ideally the start of a tax year or a quarter.
  2. Export your data in full: employee records, year-to-date figures, RTI history, P11D and benefits data, pension details and your GL mappings.
